Farm Business Record Keeping — Simple System for Indian Farmers

Most organic farmers know their soil. Very few know their numbers. The farmer who cannot tell you what their net income per acre was last season cannot make good decisions about what to grow next season. Record keeping is not paperwork for its own sake — it is the foundation of every useful farm business decision, every loan application, every certification audit, and every income tax filing.

Why Records Matter

Certification audit: NPOP and PGS certification requires records of all inputs used (what, when, how much, from where), yield records, and sales records. Auditors check these at annual inspections. Missing records can result in certification suspension.

Income tax: Agricultural income from farming is exempt from income tax in India, but income from processing, packaging, or selling branded products is not. If you have mixed income (farm + processing), you need records to distinguish the two. You must also file ITR if total income exceeds ₹2.5 lakh per year.

Loan applications: Any bank or NBFC lending to farmers will ask for 2-3 years of income records. KCC (Kisan Credit Card) renewals require evidence of farm income. A clear sales book is the difference between loan approval in a week and months of follow-up.

The Minimum Records System

You need three books. Nothing more to start:

Book 1 — Sales Record: Date, customer name, product, quantity (kg or units), price per unit, total amount, payment method (cash/UPI/cheque), and payment received date. One row per transaction. You can do this in a paper register, Google Sheets, or the Khatabook app.

Book 2 — Purchase Record: Date, supplier name, item purchased (seeds, vermicompost, packaging, fuel, tools), quantity, price, and bill reference number. Keep the actual bills in a folder organised by month. For organic certification, purchases of any input must be documented with proof that the input is permitted under your certification standard.

Book 3 — Labour Register: Date, worker name, work performed (weeding, harvest, composting), hours or days worked, daily wage paid, and signature or thumb impression. This is legally required under the Contract Labour Act for any farm employing workers, and it protects you in any labour dispute.

Monthly Tasks

At the end of each month, do three things: tally total income from your sales record, tally total expenditure from your purchase and labour records, and check for outstanding payments — customers who owe you money and suppliers you still owe. This monthly reconciliation takes 30-60 minutes and gives you a clear picture of your farm’s cash position.

Annual Tasks — P&L and Income Tax

At the end of each financial year (March 31), prepare a simple Profit and Loss statement: total income minus total expenses equals net profit. This single number tells you whether your farm is growing or shrinking. If your total income (including any non-agricultural income) exceeds ₹2.5 lakh, you must file an Income Tax Return (ITR-2 or ITR-3 is typically appropriate for farmers with business income). An accountant or CA will charge ₹3,000-8,000 for basic annual filing — a worthwhile expense that protects you from notices and fines and opens doors to formal credit.
